Brad convened the full senior leadership and management team for a comprehensive strategy session after 45-60 days of deep AI exploration. The AI Paradigm Shift at OA

Brad framed the current moment as parallel to the birth of the VA industry a decade ago. Customers are aware of AI but uncertain about applications and security. The difference: AI adoption is accelerating much faster and is far more complex.

"Last 45-60 days has been a massive deep dive in me, just pushing everything to the limits in every direction imaginable... to really understand this whole world at a deep level: what's possible, what can be done, what we can do."

The core shift: Users will stop logging into individual apps (HubSpot, Monday.com, etc.). AI agents become the primary interface, executing tasks across software via APIs and delivering exactly the data requested. OA will place agents between VAs and software, allowing one VA to manage multiple clients.

Platform strategy: Dual-path approach. Experimenting with Google Gemini (leveraging enterprise Workspace licensing) while preferring Claude's power. Goal: build agent shells in Google Workspace but use Claude "brains" where needed.

Sterling AI: Proof of Concept

Brad demonstrated Sterling AI, his personal AI agent running on a Mac Mini with a Claude brain and Telegram interface, connected to 50+ applications. Sterling was connected to Google Chat and successfully interacted using Brad's tone, validating its role in asking managerial questions and surfacing operational blind spots.

"The insane complexity of this dashboard that was built was done in like two minutes from me, just dumping in verbally what I was wanting to see."

Key validation: An AI agent successfully automated Sheila's workflow of combining 14 spreadsheets into one consolidated dashboard. Built in 90 seconds on Cloudflare. Sheila's role shifts from manual assembly to quality assurance and oversight.

Recommendation: Brad strongly recommended the AI Daily Brief podcast for the team. An internal agent is being built to scrape and summarize episodes automatically.

Internal Dashboards & Management Transformation

Current pain: OA is hitting process ceilings with manual data aggregation. Team members spend hours pulling from scattered sources (HubSpot, Thinkific, spreadsheets, Monday.com).

Solution: Tiered internal dashboards for Team Leaders, OMs, AMs, and Service Delivery. These centralize scattered data and reduce reliance on manual report-building.

Management "Partners": AI agents will act as management partners that:

  • Aggregate data from VA playbooks, CSAT surveys, Time Doctor, Google Chat, and calendars
  • Automatically surface issues (missed client meetings, outdated playbooks, performance drops)
  • Communicate directly with VAs on behalf of leaders
  • Enforce zero-tolerance policy on playbook non-compliance

Client-Facing Dashboards (Client Command Centers)

Most OA clients struggle with extracting meaningful data about their VA's performance. AI will build custom, real-time visual dashboards for each client.

Marketing, Lead Gen & Sales Revolution

AI Advisory rollout: Protect against AI vendor displacement by proactively positioning OA as a trusted AI advisor to existing clients. Mass outreach email with questionnaire planned.

Sequential Domination framework: Instead of spreading thin across industries, go deep in one vertical at a time. Starting with pest control.

"I want to get 100 pest control clients like Active Armor over the next six months. And here's how we're going to do it. Here's the message, here's the lead magnet, here's the nurture sequence. And here are the platforms we're going to use consistently."

Sales process reversal: Instead of discovery calls from zero, AI agents will:

  • Pre-analyze the prospect's industry when they book a call
  • Generate a strategic analysis of their likely challenges
  • Create a dedicated webpage with the analysis + walkthrough video
  • Send it to the prospect BEFORE the call
  • Provide talking points and strategy recommendations to the sales rep

Channels: FlowChat for DM automation, Facebook groups (Workiz, Housecall Pro), industry-specific lead magnets ("Lawn Care Biz Optimizer"), email campaigns, and Brad's personal brand content.

Talent Sourcing & Custom Software

For Leo/Cleo (recruiting): Brad committed to building a recruiting dashboard that consolidates all sourcing data, interview tracking, and candidate flow. Leo and Cleo to provide their current workflow and data sources so a dashboard can be generated.

Custom software: OA is expanding beyond VAs to build custom software, interactive dashboards, and entire platforms for clients. Proof-of-concept projects already in progress (Active Armor dashboard, band digital assets).
